Privacy policy

1. What we collect

• When you fill in the contact form: your name, phone number, email address and whatever you write in the message.
• When you ring or text us: your number and what is said. Our phone is answered by Sam, an AI receptionist. Calls may be recorded and transcribed so that the right details reach the right person and nothing gets lost. If you ask Sam whether you are talking to a person, it will tell you the truth.
• When you become a client: your business details (ABN, licences, hours, service area), the photos and words you give us, and any logins you share so we can manage your Google Business Profile. Card payments are handled by our payment provider. We never see or store your full card number.
• When you are a client and your customers contact you through your website or your system: their names, numbers, enquiries, photos and reviews. That information belongs to you. We hold it on your behalf.

2. What this website does not do

This website has no advertising pixels, no analytics trackers and no marketing cookies. Our hosting provider keeps standard technical logs, such as IP addresses and browser types, to keep the site secure and running. We do not use them to identify you.

3. What we use it for

• Replying to you and quoting for work.
• Building, running and supporting your website and systems.
• Billing you.
• Telling you about changes to your service or to these documents.

We do not sell personal information, and we do not hand it to anyone for their own marketing.

4. Who else handles it

We use other companies to run parts of the service. They only get what they need to do their part.

• Cloudflare, which hosts this website and our clients' websites.
• Resend, which delivers the email when you submit the contact form.
• Our customer management, phone and messaging platform, which runs Sam, the text messages, the review requests and the follow-ups.
• Our payment provider.
• Google, when we set up or manage a Google Business Profile for you.

Some of these companies store information outside Australia, mainly in the United States. We only use providers with proper security in place.

5. Messages from us

We only send you marketing messages if you have asked for them or you are a customer. Every one says who it is from and how to stop it. Reply STOP to a text, or tell us, and it stops.

6. How long we keep it, and how we look after it

We keep information for as long as we need it to provide the service and to meet our tax and legal obligations, then we delete it or strip out anything that identifies you. Access is limited to the people who need it, and our accounts are protected with passwords and, wherever the provider offers it, two-step login.

If you stop being a client, your customers' information stays yours. Ask within 30 days and we will export it for you. After that it is deleted.

7. Seeing, fixing or deleting your information

You can ask what we hold about you, ask us to correct it, or ask us to delete it. Email craig@builtforsmallbiz.com.au or ring 0495 096 356. We will answer within 30 days, and usually much sooner.

8. Complaints

If you think we have mishandled your information, tell us first and we will try to put it right. If you are not happy with the answer, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

9. Changes

If this policy changes in a way that matters, the new version goes on this page with a new date at the top.
